Benefits & HRIS Manager

Position Summary:
Responsible for directing and planning the strategic direction of the benefit programs and overseeing day-to-day operations of group benefit programs and Human Resource Information System. Provide excellent customer service and quality benefit plans by investigating new benefit programs, improving existing programs, and supervising and monitoring benefit administration. Oversees systems and processes to ensure personnel information is accurately captured and data integrity is maintained.  

Basic Qualifications:

Academic Qualifications

  • Bachelor's degree in Human Resources or related discipline.

Professional Qualifications

  • Five or more years managing benefit programs for a professional services organization. Law firm experience a plus.
  • Demonstrated understanding of ADA, COBRA, EEO, ERISA, FMLA/CFRA, HIPAA, ACA, Social Security, Workers Compensation, applicable federal and California state codes and disability programs, and other relevant regulations.
  • Proficiency with MS Excel. Project management experience a plus.
  • Excellent customer service skills and demonstrated ability to follow through on issues and find resolution. 
  • Human resource information system management experience; understanding of payroll systems and integration of systems a plus.

Key Responsibilities:
Benefits Program Design

Manages the design of employee benefit plans (group health, dental, vision, disability, worker’s compensation, life insurance, wellness, work/life balance, etc.), investigation of new benefit programs and improvement of existing programs.

  • Develop long-range objectives regarding benefit programs.
  • Analyze the current benefits, evaluating the usage, services, coverage, effectiveness, cost, plan experience, and competitive trends in benefits programs.
  • Survey industry trends. Complete benefit surveys and review information obtained from the results. Analyze complex benefit information. Forecast trends and assist with future benefit designs. Develop specific recommendations for review by management, including benefit and cost comparisons.
  • Research employee benefit plans and vendors to identify those that present the best value.
  • Design, recommend and implement new benefit programs and improvements of existing programs. 
  • Negotiate with vendor or administrator for new programs or renewal.

Benefit Administration

Supervise and monitor benefit administration and provides analytical and technical support in the delivery of all benefit programs.

  • Serve as primary contact for plan vendors and third party administrators.
  • Manage the benefit plan renewal process, including presentation of financial analysis comparing possible new benefit programs with existing programs.
  • Document, and maintain administrative procedures for assigned benefit processes and revise for efficiency as required.
  • Oversee the processing of monthly billings for payment of fees for all group plans.
  • Assure timeliness and accuracy of required filings with third parties and government agencies.
  • Oversee maintenance of employee benefit file.
  • Manage employee leave of absence process, including providing support to coordinate state benefits in relation to firm benefits. 
  • Educate employees on benefits at key points during employee lifecycle (at hire, life changing event, open enrollment, separation, etc.).  Develop communication tools to promote available benefits and enhance understanding of the firm’s benefits package.

Data Management

Oversee department functions of the Human Resource Information System (HRIS) to ensure the completeness and integrity of personnel data.

  • Provide support for HRIS including, researching and resolving HRIS problems, unexpected results or process flaws; perform scheduled activities; and recommend solutions or alternate methods to meet requirements.
  • Collaborate with other departments to ensure data integrity and system functionality.
    Produce standard and custom reports as required.
  • Assist in the review, testing and implementation of HRIS systems and upgrades.

Audit and Compliance

Perform regular audits of plan administration and HRIS data to ensure accuracy. 

  • Audit the accuracy of reports and bills produced  by benefits staff.
  • Perform plan audits annually and following plan changes.
  • Perform regular HRIS data integrity audits.
  • Ensure compliance with applicable government regulations.
